You miss calls. Everyone who runs a service business does. The question is what happens to the person on the other end.
Most of the time, they hang up and call the next business on the list. Missed call text back gives you a shot at keeping them.
What it is
When someone calls your business number and you don't pick up, they automatically get a text a few seconds later. Something like:
"Hey, this is [your name] with [your business]. Sorry I missed your call, I'm on a job right now. What can I help you with? You can text me here."
That's it. Simple, but it changes the conversation. Instead of a dead end, the caller has a way to reach you right now, and a lot of people would rather text anyway.
Why it works
- It catches people before they call the next business. That first minute after a missed call is when you lose them.
- People like texting. Many customers would rather send a quick text than leave a voicemail or wait for a callback.
- You can reply between jobs. A text you can answer in 20 seconds at a red light. A phone call you can't.
- You get the details in writing. They tell you what they need, so when you call back, you already know.
Who should use it
Anyone whose phone rings while their hands are busy:
- Contractors on job sites.
- Auto shops and detailers.
- Salons, med spas and clinics with a busy front desk.
- Pest control, cleaning and other crews out in the field.
- Solo owners who can't answer during appointments.
If you've ever looked at your phone after a job and seen three missed calls from numbers you don't know, you should have it.
How to write a good one
- Say who it is. Your name and business, so they know it's not spam.
- Say why you missed it. "On a job," "with a client," "under a car." It sounds human.
- Ask a question. "What can I help you with?" gets a reply. "We'll call you back" doesn't.
- Keep it short. Two or three sentences.
- Don't sell. This is a reply to their call, not a promo.
What you need to set it up
- A business phone number in a system that can text, usually a CRM or business phone app. It can forward calls to your cell so you still get them.
- Carrier registration. US carriers require businesses that text customers to register their number (often called A2P 10DLC). Without it, your texts may get filtered or blocked.
- The automation. A simple rule: if a call is missed, send this text.
- Notifications to you. So you see the reply right away.
Keep the text to a reply about their call. Don't add callers to marketing texts unless they've agreed to it. That's not legal advice, just the right way to treat people.
Part of a bigger system
Missed call text back works best alongside instant replies to form leads and follow-up for people who go quiet. Here's the bigger picture on speed to lead.
