Here's something most owners don't want to hear. A lot of the leads you think are "bad" were good leads you answered too late.
The first reply has a big advantage
When someone needs a plumber, a groomer or a roof inspection, they usually don't contact just one business. They fill out two or three forms, or call down a list. Then they go with whoever gets back to them first and sounds like they've got it handled.
If you call back the next morning, you're often calling someone who already booked.
What the research says
The most quoted numbers come from a lead response study by InsideSales.com, reported by CMSWire. It found that contacting a lead within 5 minutes made you about 100 times more likely to reach them than waiting 30 minutes. It also found that very few companies actually respond that fast.
That research is older, and it looked at sales teams, not plumbers or salons. But it matches what I see with local service businesses. The longer a lead waits, the colder it gets.
Why owners can't answer fast
You're not ignoring leads on purpose. You're working:
- On a roof or under a house.
- With a client in the chair.
- Under a hood.
- Driving between jobs.
- Asleep, because the lead came in at 10:30 at night.
You can't stop every time your phone buzzes. That's exactly why the first reply shouldn't depend on you.
How to reply in minutes without stopping work
1. An instant text and email. The second someone fills out a form or books, they get a text from your business. Something like:
"Hey [first name], this is [your name] with [your business]. Got your request for a quote. I'm on a job right now and I'll call you this afternoon. Anything I should know about the yard?"
It's not a robot pretending to be you. It's a real message, written in your voice, sent automatically. They know they were heard, and they're less likely to keep shopping.
2. A notification to you. You get a text with their name, number and what they asked for, so you can call back the moment you're free.
3. Missed call text back. If someone calls and you can't answer, they get a text right away. Here's how missed call text back works.
4. Follow-up for quiet leads. Some people don't reply to the first message. A short series of check-ins over the next few days brings a lot of them back.
5. One place for everything. Every lead in one pipeline: who's new, who you've talked to, who booked. No digging through texts, emails and Facebook messages.
Do it with consent
Only text people who reached out to you or agreed to hear from you, and give them an easy way to opt out. Business texting in the US also requires registering your number with the carriers. It takes a little setup, but it keeps your messages from getting blocked.
The cheapest leads you'll ever get
Before you spend more on ads, look at how fast you're answering the leads you already have. Getting back to people faster is usually the cheapest improvement you can make.
